For many HVAC companies, team meetings have become almost nonexistent due to the lack of time and manpower, but the importance of team meetings can mean the difference between failure and success of an organization.  After attending the Construction Forum earlier this year, Air Controls learned how valuable mandatory weekly meetings were to plan, collaborate and make important decisions for the business.  “We implemented a weekly job turnover meeting and it’s helped us immensely.  “The goal was to fix mistakes, problematic issues, and plan ahead so that we could have a peace of mind.” said Air Controls Vice President, Chris Schaff. 

The weekly job turnover meetings range between one to two hours and include detailing new jobs, job progress, quotes, and manpower.  Other topics discussed are billing, job completion, warranty and all issues whether good or bad.  The Vice President, Project Manager, Service Manager, and Foreman are among many that are present for these team meetings.
  
To address turnover, Air Controls created a turnover sheet to follow as a guideline.  It outlines the job name, job number, the owner or general contractor, permits pulled, equipment and vendors.  In addition, it includes how many hours needed to complete the job, the approximate start date, any job specific issues and sub-contractors.  The detailed list has ensured that everything is an open book so everyone knows exactly what is going on.
  
“We are now prepared for jobs and get all questions out in front so we can have at least a week look ahead with labor.  I also look ahead for labor on jobs further down the road,” said Schaff.  Air Controls has found extreme value in holding these routine meetings.  “It’s easy to steer the ship when you know what’s going on plus it’s helping with manpower and mistakes.  We hold each other accountable too,” says Schaff.  The benefit of having weekly meetings allows for tasks and goals to be clear and employees are more motivated to work because they realize their importance and see that their effort makes a difference to the team!
